Definition

Customizing email content beyond 'Hi {first_name}.' Real personalization references the recipient's company, role, recent activity, or specific challenges. It signals that you researched them individually instead of blasting a template to 10,000 addresses. The effort shows, and response rates prove it.

Why It Matters

Generic cold emails get deleted or flagged as spam. Personalized emails get 2-3x higher reply rates because they feel like genuine outreach, not bulk marketing. Even basic personalization (company name, a relevant observation) dramatically changes how recipients perceive your message.

How to Improve

  • Reference something specific about the recipient's company. A recent blog post, a product launch, a job posting. Make it current.
  • Customize the opening line for each segment at minimum. Generic openers like 'I hope this finds you well' signal mass email.
  • Use merge fields for scalable personalization but always review a sample before sending. Broken merge fields are worse than no personalization.
  • Personalize the value proposition, not just the greeting. 'I noticed your team is hiring three SDRs' is personalization. 'Hi John' is not.
